What are saved clients?
Saved clients are reusable sets of customer details linked to your signed-in IRQDocs account.
They can be used when creating:
- invoices;
- quotes;
- receipts.
Selecting a saved client fills the client section of the current document.
You can still review and change the document fields before downloading, saving or sharing it.
How do I open Saved clients?
Sign in to IRQDocs and open the Dashboard.
- Sign inSign in to your IRQDocs account.
- Open DashboardGo to the Dashboard.
- Select Saved ClientsOpen the Saved clients page.
Select “Saved Clients” from the dashboard header.
On smaller screens, open the “Manage” menu and select “Saved Clients”.
You can then open Saved clients to review the records stored on your account.
Create a Business client
Select “New client”, then choose “Business”.
The available fields are:
- Business name;
- Contact name;
- Address;
- Country;
- Email;
- Phone.
Enter the details you normally want to appear in the client section of a document.
Select “Save client” when the details are ready.
IRQDocs confirms a successful save with “Client saved”.
Create an Individual client
Select “New client”, then choose “Individual”.
The available fields are:
- Full name;
- Address;
- Country;
- Email;
- Phone.
Use Individual when the client is a person rather than a business.
Select “Save client” when the details are ready.
Business
Use when the document is addressed to a company or organisation.
Primary identity fields:
- Business name;
- Contact name.
Individual
Use when the document is addressed directly to a person.
Primary identity field:
- Full name.
Use a saved client in a document
Open a new or existing invoice, quote or receipt in the editor.
In the client section, open “Use saved client…”.
You can search using saved information such as:
- business name;
- contact name;
- full name;
- email;
- country.
Select the client you need.
IRQDocs fills the current document’s client fields with the saved details.
- Open the saved-client selector
- Search or browse
- Select a client
- Review the filled fields
Save a new client from the editor
You do not have to create every client from the Saved clients page.
When client details have been entered directly into a document, select “Save as new client”.
IRQDocs saves those details as a reusable client and confirms “Client saved”.
The client can then be selected in future invoices, quotes and receipts.
Update a saved client
You can update a saved client in either of two places:
- from the Saved clients page;
- from the document editor after selecting a saved client and changing its details.
From Saved clients
Select the edit control beside the client.
Change the details and select “Save changes”.
IRQDocs confirms “Client updated”.
From the editor
Select a saved client in the document.
Change one or more client fields.
Select “Update saved client”. IRQDocs updates the reusable saved record.
Updating the saved record does not rewrite older documents.
Clear client fields from a document
Select “Clear fields” to remove the client information from the current document.
This clears the document fields and removes the current saved-client selection.
It does not delete the saved client.
Delete a saved client
Open Saved clients and select the delete control beside the client.
IRQDocs asks you to confirm: “Delete this saved client?”
After confirmation, the saved client is removed from your account.
IRQDocs confirms “Client deleted”.
What happens to existing documents?
Changes to a saved client do not alter documents that already exist.
The Saved clients page states: “Changes here don’t affect saved documents.”
This applies when you:
- edit a saved client;
- update a saved client from the editor;
- delete a saved client.
Existing documents keep the client information already stored with them.
Update a document separately when its client details need to change.
When should I update saved client details?
Update a saved client when the reusable customer information has changed.
- business name changes;
- contact person changes;
- individual client name changes;
- address changes;
- country changes;
- email changes;
- phone number changes.
Review saved details before using them so new documents do not begin with outdated information.
Before you use a saved client
- confirm you selected the correct client;
- check whether it is a Business or Individual record;
- review the client name;
- review the address and country;
- check email and phone details;
- confirm any document-specific changes;
- update the saved record only when the new details should be reused.
