What does Duplicate do?
Duplicate creates another saved document from an existing invoice, quote or receipt.
The new document:
- has its own saved Dashboard record
- can be opened and edited separately
- receives a new document number
- uses today’s issue date
- begins without an active share link.
Changes made later to the duplicate do not change the original.
Changes made later to the original do not change the duplicate.
The two documents are independent
After duplication, the original and duplicate are separate saved documents.
When is duplication useful?
Duplication can reduce retyping when a new document is similar to an existing one.
Examples include:
- billing the same client for similar work
- reusing a set of line items
- starting from the same business and payment details
- creating a similar quote, invoice or receipt with a new number
- keeping the original document unchanged as a reference.
Duplication is most useful when the new document should remain the same type as the source.
Review all copied details before using it.
How do I duplicate from the Dashboard?
Open the Dashboard and find the saved document you want to copy.
On a wider screen:
- find the document in “Recent documents”
- check its type, number and client
- select “Duplicate”
- wait for IRQDocs to create the copy
- look for “Document duplicated”
- find the new document in the refreshed list.
No confirmation dialog appears
Selecting Duplicate starts the copy process, so check the document row before using the action.
Where is Duplicate on mobile?
On smaller screens, Duplicate is inside the document’s More actions menu.
To create the copy:
- open the Dashboard
- find the saved document
- select “More actions”
- select “Duplicate”
- wait for the Dashboard to refresh
- find the new saved document.
Check the source first
Confirm the document type, number and client before selecting Duplicate.
What is copied into the duplicate?
The duplicate keeps the source document’s:
- document type
- template theme
- business details
- client details
- currency
- line items
- discount
- payment details
- notes
- due date or valid-until date, where present.
These details are copied as a starting point.
They are not kept synchronised with the original after duplication.
Review time-sensitive fields
A copied due date or valid-until date may no longer suit the new document. Check it before use.
What changes in the duplicate?
IRQDocs changes two important details automatically.
Document number
The duplicate receives the next available sequential number for its document type.
Issue date
The duplicate uses today’s date.
The duplicate is stored as a new saved document.
Other copied dates are not automatically recalculated.
Today’s issue date does not update every date
Check any copied due date, valid-until date, payment terms or notes before using the duplicate.
What happens to the original?
The original document remains unchanged.
It keeps:
- its document number
- its issue date
- its document type
- its saved details
- its current Draft or Shared status
- its active share link, when one exists.
Duplicating does not replace, edit or delete the source document.
Does the share link carry over?
No.
The duplicate does not inherit the original document’s active share link.
The new document begins as Draft.
The original keeps its own active share link and Shared status when it already had one.

Share the duplicate separately
Review the duplicate and create a new read-only share link when it is ready for a recipient.
Is duplication the same as conversion?
No. Duplication and conversion create different results.
Duplicate
- keeps the same document type
- receives a new number
- copies the source details
- leaves the original unchanged.
Convert
- changes to the next supported document type
- creates a separate invoice from a quote or receipt from an invoice
- uses the conversion numbering rules
- leaves the original unchanged.
Use Duplicate when you need another document of the same type.
Use conversion when moving from quote to invoice or invoice to receipt.

Does duplication affect my document limit?
Yes. A duplicate is another saved document in the account.
Free account
Up to 25 saved documents, including duplicates.
Pro
Unlimited saved documents.
A Free account that has reached its saved-document limit cannot create another duplicate until room is available or the account is upgraded.
How do I open and edit the duplicate?
After the Dashboard refreshes, find the new document in Recent documents.
The duplicate should have:
- the same document type as the source
- a new document number
- today’s issue date.
Select the new document to open it in the editor.
You can then update its copied details, check the preview, download a PDF or create a share link.
The duplicate does not open automatically
Find the newly created document in the refreshed Dashboard list and open it when you are ready to edit.
What should I check before using it?
- the duplicate, not the original, is open
- the new document number is correct
- today’s issue date is appropriate
- any copied due date or valid-until date is still suitable
- the document type is correct
- the client details are current
- business details are current
- line items, quantities and prices are correct
- discount and tax values are correct
- payment details and notes are appropriate
- the preview shows the intended result
- a new PDF or share link is created when needed.
A duplicate is a useful starting point, not a finished document by default.
Review every field that may have changed since the source document was created.
