What does deleting a document do?
Deleting removes the selected saved invoice, quote or receipt from your IRQDocs account.
It removes:
- the saved document record;
- its editable details;
- its saved line items;
- any active share link connected to that document.
The document no longer appears in the Dashboard after successful deletion.
Deletion does not remove PDF files that have already been downloaded to a device.
Deletion is permanent
IRQDocs does not currently provide an undo, archive or restore control for deleted documents.
Is deleting the same as closing the editor?
No.
Closing the browser tab or returning to the Dashboard does not delete a saved document.
For a signed-in user:
- document changes are saved automatically;
- the saved document remains in the Dashboard;
- it can be reopened later.
Close or leave
The saved document remains in the account.
Delete
The saved document is permanently removed.
Saving and reopening is covered in saving and returning to a document.
What should I check before deleting?
- the correct document type is selected;
- the document number is correct;
- the client is correct;
- you no longer need the editable Dashboard record;
- any required PDF has been downloaded;
- anyone using its share link no longer needs access;
- any related quote, invoice or receipt has been checked;
- you understand that deletion cannot be undone.
When document numbers are similar, check the type and client as well as the number.
Keep a PDF when needed
Download a final PDF before deletion when you need to retain a non-editable copy outside IRQDocs.
How do I delete from the Dashboard?
Open the Dashboard and find the invoice, quote or receipt you want to delete.
On a wider screen:
- find the document in “Recent documents”;
- check its type and number;
- select its “Delete” action;
- review the confirmation dialog;
- select “Delete” to confirm.
Where is Delete on mobile?
On smaller screens, each document has visible actions and a More actions menu.
To find Delete:
- open the Dashboard;
- find the saved document;
- select “More actions”;
- select “Delete”;
- review the confirmation dialog.
Check the document row first
Confirm the type, number and client before opening More actions.
What does the confirmation dialog show?
The Dashboard confirmation dialog is titled:
Delete this document?
It identifies the selected document by type and number.
It then explains that the document will be permanently removed and states: This action cannot be undone.
The available actions are:
- Cancel
- Delete
The destructive action should only be selected after checking the identified document.
Cancel
Close the dialog without deleting the document.
Delete
Permanently remove the identified document.
How do I cancel a deletion?
Select Cancel.
The confirmation dialog closes and the document remains in the Dashboard.
You can also close the confirmation dialog before selecting the destructive action.
No document is deleted until the final confirmation action is selected.
Opening the dialog does not delete anything
The document remains unchanged unless you select the final Delete action.
What happens after I confirm?
After a successful Dashboard deletion:
- the document is removed from the saved-document list;
- its saved line items are removed;
- its active share link stops working;
- IRQDocs shows “Document deleted”.
When deletion is started from the editor, IRQDocs creates a fresh document view after removing the saved document.
The fresh editor keeps the current document type and theme.
Saved Business profile details may be added to the fresh document when available.
The fresh editor is a new document
It is not a restored or duplicated version of the document you deleted.
What happens to the share link?
An active share link belongs to the saved document.
When the document is deleted, that link no longer opens the document.
Someone using the old URL will see:
- “Document not found”;
- “This share link is no longer available.”
Creating and replacing links is covered in creating and using a share link.
Previously sent URLs stop working
Tell the recipient when a document has been withdrawn or replaced and they should no longer use the old link.
What happens to downloaded PDFs?
Deleting a saved IRQDocs document does not remove PDF files already downloaded to a device.
A downloaded PDF may remain:
- on your computer or phone;
- in a browser download folder;
- in cloud storage chosen by the downloader;
- with a recipient who previously downloaded it.
IRQDocs cannot use document deletion to remove copies already outside the application.
A PDF is a separate file
Deleting the editable IRQDocs record does not recall or erase PDF copies held elsewhere.
Are saved clients or related documents deleted?
Deleting a document does not delete its client from Saved clients.
It also does not automatically delete separate documents created through conversion.
Saved client
Remains available in Saved clients.
Converted document
Remains available as its own saved document.
Source document
Remains available unless that specific document is deleted.
For example:
- deleting a quote does not automatically delete an invoice created from it;
- deleting an invoice does not automatically delete a receipt created from it;
- deleting a converted invoice does not automatically delete its original quote.
Conversion is covered in converting a quote into an invoice and creating a receipt from an invoice.
Can I recover a deleted document?
No recovery control is currently available in IRQDocs after deletion is confirmed.
There is no:
- undo;
- recycle bin;
- archive;
- restore action;
- version history for recovering the deleted record.
A PDF downloaded before deletion can be kept as a reference, but it cannot be reopened as the original editable IRQDocs record.
Pause before confirming
When uncertain, select Cancel and review the document before deciding whether to delete it.
Before you delete
- Identify
Confirm the document type, number and client.
- Check
Download any PDF you need and review related documents.
- Confirm
Select Delete only after reading the confirmation dialog.
