How do I convert a quote into an invoice?

IRQDocs Pro can turn a saved quote into a new invoice without making you enter the same information again.

The new invoice carries across the quote details, remains editable and gets its own invoice number and date.

The original quote stays unchanged and remains available in your Dashboard.

What does quote-to-invoice conversion do?

Quote-to-invoice conversion creates a new invoice from a saved quote.

It is useful when the client has accepted the quote and you are ready to request payment.

The conversion keeps the agreed information available while creating a separate invoice record.

Who can convert a quote?

Quote-to-invoice conversion is an IRQDocs Pro feature.

To use it, you need:

  • a signed-in IRQDocs account;
  • an active Pro subscription;
  • a saved quote.

Creating, previewing and downloading a quote is available without an account.

Saving and converting the quote requires the relevant signed-in account features. You can read more about the feature on the quote to invoice page.

Open the saved quote

Sign in and open the Dashboard.

Find the saved quote you want to convert.

You can use the Dashboard search and sorting controls when you have several saved documents.

Open the quote or use its available document actions.

  3. Find the saved quote

Select Convert to invoice

Open the quote’s document actions and select “Convert to invoice”.

On wider screens, the action is available with the other quote actions.

On smaller screens, it is available in the quote’s “More” menu.

IRQDocs checks that conversion is available for the account before continuing.

Confirm the conversion

IRQDocs asks: “Convert this quote to an invoice?”

The confirmation explains that a new invoice will be created from the selected quote.

It also confirms that:

  • the original quote is not modified;
  • any existing share link for the quote still works.

Select “Convert to invoice” in the confirmation dialog to continue.

After successful conversion, IRQDocs displays “Quote converted to invoice”.

The new invoice then opens in the editor.

What gets copied to the invoice?

IRQDocs uses the saved quote as the starting point for the new invoice.

The following information can carry across:

  • business name and contact details;
  • business address and country;
  • business tax identifier;
  • business logo;
  • client type and client details;
  • currency;
  • template theme;
  • line-item descriptions;
  • quantities;
  • prices;
  • tax rates;
  • discount;
  • payment information;
  • notes.

The invoice totals are calculated from the copied line items, tax and discount.

Saved Business profile values may fill empty fields, but they do not replace information already stored on the quote.

What changes on the new invoice?

The converted document is a new invoice, so some information changes.

The new invoice receives

  • document type: Invoice;
  • its own invoice number;
  • today’s date;
  • Draft status;
  • an empty share-link state.

The quote value that is cleared

  • the quote’s valid-until date.

Where possible, IRQDocs keeps the numeric suffix from the quote number.

For example:

Q-014 → INV-014

If that invoice number already exists, IRQDocs uses the next available document number instead.

What happens to the original quote?

The original quote remains unchanged.

It keeps:

  • its quote number;
  • its original issue date;
  • its valid-until date;
  • its saved details;
  • its Draft or Shared status;
  • its existing share link, when one has been created.

The quote and invoice remain separate records in the Dashboard.

This preserves the original proposal while giving you a new document for requesting payment.

Review the new invoice

The new invoice opens in the editor after conversion.

Before downloading or sharing it, check:

  • invoice number;
  • invoice date;
  • payment due date;
  • business details;
  • client details;
  • line-item descriptions;
  • quantities and prices;
  • tax rates;
  • discount;
  • total amount;
  • payment details;
  • notes.

Change anything that differs from the accepted quote or the final work supplied.

What if Convert to invoice is unavailable?

Check the following:

  • you are signed in;
  • the document is saved as a quote;
  • your account has Pro access;
  • your email or account requirements are complete;
  • the quote still exists in your Dashboard.

Free users who select the conversion action are shown the relevant Pro information.

What should I do next?

Once the invoice is correct, you can:

  • continue editing it;
  • download an A4 PDF;
  • create a read-only share link;
  • return to it through the Dashboard;
  • convert the invoice into a receipt after payment, with Pro.

Quote and invoice at a glance

Original quote

  • remains a Quote;
  • keeps its number and dates;
  • keeps its status;
  • keeps any existing share link;
  • remains available in the Dashboard.

New invoice

  • is created as a separate document;
  • receives an invoice number;
  • uses the conversion date;
  • begins as Draft;
  • has no share link until you create one;
  • opens for review and editing.
